NOTICES OF DELAY

 

Throughout a project, you may encounter disruptions to your schedule which require may cause delays to the schedule later on in the Job. Because of this, you may need to submit a Notice of Delay to inform other contacts on the Job of potential delays. The Notices of Delay section in IPM lets you create a Notice of Delay and send it to the required contacts.

 

This section will show you how to:

  • Create a new Notice of Delay
  • Send details of the Delay to one or more recipients

 

Definition of Terms

Notice of Delay

A Notice of Delay is a notification to affected parties on a Job of any possible delays to the schedule that may arise throughout the Job. It is not a formal request for an extension of time, but rather a indication that there may be a request for an extension of time forthcoming.

Extension of Time

An Extension of Time (see Chapter 3, 12.0 for more information) is a formal request to extend the completion date of a contract due to unforeseen disruptions such as rain delays.13.2

 

Components of a Notice of Delay

All of the components of a Notice of Delay can be seen in the drop down menu of the image below. The image following displays the full Notice of Delay screen.

 

 

 

Notices of delay contain the generic document items of Activities, Closed Activities, Audit History and Send To (for more information see Chapter 2, 2.0), along with the following components:

 

Information

The information section contains three areas to input information about the Notice of Delay: General, Details and Notes.

 

General

The general menu contains areas to input the following information:

Job: As each Notice of Delay is created under a particular Job, IPM automatically inputs the Job name for you

Number: If this is the first Notice of Delay for the Job, IPM will automatically set the number to job number-0001. If there are already Notices of Delay created under the Job, IPM will assign it to the next number in the sequence. This can be edited if you wish

Notification Date: This will auto fill to today’s date

Subject: A brief description of the Delay

NOD Type: You can select whether the Delay relates to the Head Contract or a Sub-Contract

Related Subcontract: If the Delay relates to a Subcontract, you can indicate which one here

Length (in days): The anticipated length the Delay

Status: The status of the Notice of Delay can be selected as Pending, Approved or Declined

Reason for DelayHere you can enter the details of the reason for the Delay

Notified by: The contact who notified you of the Delay

Received By: The contact who received details of the Delay

Issue: If the Notice of Delay relates to an IPM Issue, you can add details of that here

 

Details

The Details section allows you to go into further detail about the NOD

 

Notes

The Notes menu allows you to add any additional notes to the Notice of Delay

 

Transmittals

As well as creating Transmittals through the Transmittal menu, you can also create a Transmittal for a particular Notice of Delay through the Notice of Delay form. All the Transmittals for a particular Notice of Delay are shown in this section, and these will also appear in the full list of Transmittals for the Job in the Transmittals menu.
